Quote Generator: voice memo in, branded quote out, follow-up handled.

A custom AI quote/proposal/estimate generator for trades, contractors, agencies, and B2B service shops. Walk the job, talk into your phone, get a branded PDF with line items and a payment link in front of the customer the same day. Built in 3–6 weeks for businesses where quoting is the bottleneck.

Build duration 3–6 weeks
Engagement Paid scoping → fixed quote
Best for Trades, contractors, agencies
Built for

Owner-operators who do estimates on weekends.

If your quoting process is "the owner walks the job, takes some photos, then spends 2–4 hours on Sunday turning it into a Word doc using a Sheet for pricing and a folder of photos for context" — and quotes go out 2–3 days late, half don't get followed up, and conversion is mediocre because your document looks like every other contractor's — this is the build that fixes it.

Trades & contractors

HVAC, plumbing, electrical, remodelers, pool/spa, roofing, landscaping. Anywhere line-item estimates are the work and the owner's evenings are spent in Word.

Agencies & consultancies

Marketing, design, dev shops, fractional services. Anywhere proposals are bespoke but mostly the same as last week's, with surgical edits to scope and pricing.

B2B service shops

Custom manufacturing, specialty B2B services, project-based work. Anywhere a "quote" is really a structured document combining scope, materials, labor, terms, and pricing — and right now it's manual every time.

The pain

Quotes go out late, look generic, and never get followed up.

The economics of quoting are brutal for most service businesses. Three things compound to lose deals you should be winning.

Speed kills

The customer who got your quote 2 days late already got two from competitors. Same-day quote = first to respond = highest probability of close. Late quote = you're now the comparison shop's reference price.

Inconsistent pricing

Different jobs priced differently because you're working from memory. Margins erode silently. Customers compare notes and now you have a reputation problem on top of a margin problem.

No follow-up rhythm

Half the quotes that go out never get a follow-up touch. The other half get one well-meaning text 5 days later. Conversion suffers, and you have no idea which quotes are still warm vs. cold.

What we build

From voice memo to signed quote, with engineering rigor underneath.

The flow looks deceptively simple from the outside: talk into your phone, get a branded PDF. Underneath it's a real engineering build — voice transcription, structured extraction, a pricing engine, document generation, and a quote-tracking workflow.

1

Multi-input intake

Voice memo (Whisper transcription), photos (vision-model parsing for scope hints), rough notes, or a structured form. Pick whichever fits the moment — voice on the truck, form at the desk.

2

Structured scope extraction

LLM with structured outputs converts the intake into a normalized data model: scope items, materials, labor estimates, special considerations. Output is reviewed by you before pricing — the AI proposes, you decide.

3

Pricing engine on your rate book

Your rates, your markups, your bundles. Deterministic math — not LLM-guessed prices. Margin floors enforced. Optional packages and add-ons. The pricing logic lives in code you can audit, not in a model that might hallucinate a number.

4

Branded PDF / DOCX generation

Templated output in your branding, with conditionals (hide sections that don't apply), optional packages, terms, payment schedule, and embedded payment link. Looks like a real business — not a Word doc with your logo pasted at the top.

5

Quote tracking & follow-up automation

Each quote tracked through stages: sent, viewed, follow-up due, accepted/declined. Automated follow-up sequence at customizable intervals. You see the entire quote pipeline at a glance.

6

Embedded payment link

Stripe (or your preferred processor) link embedded in the quote. Customer accepts → deposit collected → automatic project kickoff. No separate invoicing step.

7

Production engineering throughout

Multi-tenant Postgres, audit logging, role-based access, multi-LLM provider routing, eval suite on the extraction step. The unsexy parts that keep this working when one of your suppliers changes pricing on you.

What changes

Quotes that go out same-day, with consistent margin.

Quote Generator outcomes show up in three places — quote velocity, conversion, and margin. Every business is different, but the direction is consistent across builds.

Same-day quotes instead of 2–3 day turnaround
No weekends spent in Word — owner gets Sundays back
Consistent margin floors enforced on every quote
100% of quotes followed up automatically
How the engagement runs

Paid scoping → fixed quote → 3–6 week build → maintenance.

Stage 1 · Discovery (free, 30–60 min)

Confirm fit and capture quoting workflow

We walk through how you quote today — voice, paper, Word, Sheet, photo folder, all of it. By end of call we know whether Quote Generator fits and roughly what the scope looks like.

Stage 2 · Paid scoping (2–3 weeks)

Rate book audit, template design, fixed quote

Stakeholder interviews, rate book audit (the make-or-break), template design with your branding, pricing logic mapped, fixed-quote SOW. Output is yours regardless of next step.

Stage 3 · Build (3–6 weeks)

Intake → extraction → pricing → output

Week 1: intake (voice/photo/form). Weeks 2–3: structured extraction + pricing engine. Week 4: PDF generation, payment link, quote tracking. Weeks 5–6 (when applicable): follow-up automation, eval suite, polish, pre-launch testing on real jobs.

Stage 4 · Go-live + maintenance

Daily check-ins for week 1, then ongoing retainer

30-day stability watch. Quarterly business review that surfaces follow-on builds. Maintenance retainer covers hosting, monitoring, bug fixes, minor enhancements, LLM API baseline.

Common questions

Things prospects ask before paid scoping.

Will the AI make up prices or scope?

No. The AI extracts scope from your intake and proposes line items — but pricing comes from a deterministic engine running on your rate book. Margin floors are enforced in code. The AI never decides the dollar amount; you do, via the rate book it draws from.

What if my pricing is more nuanced than a flat rate book?

Most are. Tiered pricing, regional adjustments, customer-specific rates, package bundles, seasonal multipliers — all supported. The pricing engine is custom to your operation, mapped during paid scoping. If your pricing logic genuinely can't be expressed in code, we'll tell you on the discovery call.

How accurate is voice-memo extraction?

Whisper transcription is excellent. Structured extraction quality depends on how consistently you describe jobs — we tune the extraction prompt during scoping based on your real voice memos. The output is always reviewable by you before pricing applies, so an extraction miss never costs you money on a quote.

Does this replace my CRM?

No. Quote Generator integrates with your CRM (HubSpot, Pipedrive, Salesforce, ServiceTitan, JobNimbus, etc.) for customer records, quote tracking, and follow-up automation. Your CRM stays where it is; we wire into it.

What about my existing estimating software?

If you're on a vertical estimating tool (e.g., a construction estimating platform), Quote Generator can complement it — handling the intake and customer-facing PDF while the estimating tool stays for internal cost calc. Or it can replace the customer-facing piece entirely. Discovery determines which.

What does the maintenance retainer cover?

Hosting (pass-through with margin), monitoring, bug fixes, minor enhancements (defined SLA), quarterly review, LLM API costs up to a baseline. Rate book updates are included as a normal part of maintenance — pricing changes shouldn't require change orders.
